Productivity Power-Up Series: Part 2

The 3 Tools You Need to Stay Organized (and Sane)

Staying organized is the foundation of any productive day, especially for busy coaches, consultants, and agency owners juggling multiple clients, projects, and deadlines.

Without the right tools, it’s easy to feel overwhelmed or lose track of important details.

To stay on top of your game, you need tools that simplify your workflow, improve communication, and keep you organized.

Here are three must-have tools that will help you stay organized and stress-free.

1. Task Management Tool (Trello, Asana, or Notion)

A solid task management tool is crucial for keeping track of what needs to get done—and when. Trello, Asana, and Notion are all great options, offering simple and intuitive ways to organize tasks into boards or lists.

  • Trello uses boards, lists, and cards to visualize tasks, making it easy to drag and drop assignments from one stage to the next (e.g., "To Do," "In Progress," and "Done").
  • Asana offers a more robust project management experience, with features like task dependencies, timelines, and advanced reporting. If your projects are more complex or involve teams, Asana might be the better choice.
  • Notion is a notetaking tool which also offers powerful task management capabilities and provides tons of flexibility in how you set it up.

Both tools allow you to set deadlines, create sub-tasks, and assign tasks to team members. The key benefit? You can easily see everything at a glance, keeping you on track and ensuring nothing falls through the cracks.

2. Calendar Tool (Google Calendar or Calendly)

Your calendar should be a central hub that helps you plan your day, week, and month efficiently. Google Calendar is perfect for this. You can block time for focused work, meetings, and even personal time, all while syncing across all your devices. The key to using a calendar effectively is scheduling everything—including breaks—so your day has a clear structure.

If scheduling meetings with clients or prospects is part of your workflow, use Calendly to automate that process. Calendly integrates with Google Calendar and allows clients to book meetings with you based on your availability. This eliminates the endless back-and-forth of emails trying to find a meeting time and ensures your schedule stays organized.

3. Document Management Tool (Google Drive or Notion)

Every business owner needs a reliable way to store and organize documents, files, and notes. Google Drive offers simple cloud storage that’s easy to use, accessible from anywhere, and allows for real-time collaboration on documents, spreadsheets, and presentations. You can organize your files into folders, making it easy to keep track of everything related to specific projects or clients.

For a more structured and flexible tool, consider Notion. Notion allows you to create an entire workspace where you can manage documents, tasks, databases, and notes—all in one place. You can even build out workflows, dashboards, and wikis to keep all your information well-organized.

With these three tools in place, you’ll have a solid system for managing tasks, scheduling meetings, and organizing documents—giving you the peace of mind that everything is where it should be.
